Digitisation optimises business processes
InoTec GmbH, together with its partners SYNIOS GmbH and d.velop AG, presents complete solutions for patient records and total document management – from efficient capture and processing of paper records, through to legally-compliant archiving and integration into hospital information systems. At the core of the workflows displayed on both booths are InoTec production scanners. The scanners feature four speed options and an innovative upgrade concept, which together cover an extensive performance spectrum.
Increasing competition in the health sector compels hospitals and clinics to optimise their business processes. It is Andreas Jörgs’ (Marketing Manager eHealth for IT specialist SYNIOS) assessment that currently some 60 percent of all information generated is created in traditional paper form. „In view of the 30-year legal retention obligation digitisation creates enormous potential for cost reduction and efficiency increases“, according to Andreas Jörgs.
Whether it is space saving, reduced costs for archiving equipment like binders and shelves, improved access to information, audit proof data storage or accelerated process flows: digitisation of paper based information provides a multitude of advantages for hospitals and clinics.
In this process InoTec production scanners provide fast and reliable document capture. In addition to high scanning speed, up to 170 sheets/minute, and excellent image quality, the SCAMAX models feature a multitude of practice orientated functions eminently suitable for the hospital environment. These include intuitive operation via an integrated TouchScreen and InoTec’s Perfect Document Technology (PDT). PDT executes important functions in the scanner itself, such as complete image processing and/or automatic blank page recognition.
The upgrade concept offers maximum investment protection: increasing speed is one feature, as well as the possibility to switch from bitonal to colour scanning.

Easy creation of digital patient records
On their booth in Hall 1.2a/B107, SYNIOS shows an automated scan process for the digital capture of patient records.
The DMS Software SE PAVAS ensures a one-to-one reproduction of the paper record in the electronic world. Through the use of index sheets, containing barcodes, individual parts of a patient record, such as X-rays or laboratory results, can be automatically classified and assigned to the appropriate record.
Via the patchcode controlled switching between bitonal and colour imaging, available in InoTec document scanners, differently coloured documents can be saved to one common digital file in a single scan process. Patchcode sheets are inserted during document preparation to define which documents are to be scanned in bitonal mode and which ones in colour.
Integration with the hospital information system facilitates the automatic creation of a patient record, at the time of admission, in the digital archive system from SE PAVAS. This ensures that the patient’s master data, patient supplied documents and documents scanned after the patient’s discharge are available in digital form. Access to this information is available, subject to appropriate access authorisation, over the network from various locations.
On their booth Hall 1.2/C103 d.velop presents the software suite d.3, a complete Enterprise Content Management system. Whether it is scanning of documents with automatic data capture or legally compliant electronic archiving – d.3 supports the hospital user during the entire documents’ life cycle.
The solution suite d.3 caters both for applications that scan paper documents, after treatment completion, in a legally-compliant way as replacement of the original, as well as processing of digital documents including electronic signatures.
Integration with the hospital information system (KIS) includes, amongst other things, automatic exchange of patient and case master data, automatic archiving of KIS documents and display of archived documents within the user interface of KIS. The d.3 solution from d.velop AG has been certified by the “Zentrum für Telematik im Gesundheitswesen GmbH (ZTG)” – Centre for Health Telematics.
With d.3 smart mobile, d.velop also provides components for the trend to mHealth. It provides access to all information in the d.3-System, both medical as well as administrative, via mobile devices such as iPad or Android-Tablet.
Both partners emphasise that hospitals can benefit in other archiving related areas through the implementation of a DMS solution. „Incoming invoices or mail, contracts and manuals can be managed far more efficiently, securely and cost effective using a DMS solution “, explains Thomas Malessa, Head of Public Relations at d.velop AG.
And Andreas Jörgs from SYNIOS adds: „Faster throughput times for invoice processing result in ‘cash in hand’ for clinics. It allows timely payment of suppliers to claim any discounts that have been agreed to for prompt payments“.
