Document scanners ‘Made in Germany’ for federal ministries and federal offices

The Federal Republic of Germany is ordering up to 60 InoTec SCAMAX® 611 document scanners from German manufacturer DATAWIN for its ministries, offices and authorities. High throughput, maximum stack height and intelligent sorting function are key decision criteria in the procurement process.

Ergolding near Landshut, November 05, 2024: The leading German manufacturer of document scanners DATAWIN and its partner SAFETEC have won a scanner tender issued by the German Federal Ministry of the Interior and for Home Affairs. The InoTec SCAMAX® 611 document scanner was awarded the contract by the Federal Procurement Office in the most powerful of a total of five device classes. In addition to its high throughput, its stacking capacity and its intelligent sorting function, its staple recognition and its ability to process special formats and overlengths were decisive factors. A total of 95 eligible authorities and institutions can call up their InoTec SCAMAX® document scanner from the 60 devices available until 2027, including all federal ministries, federal offices, federal agencies and federal institutes.

High demands on scanning hardware and associated services

In its tender specifications, the Federal Procurement Office formulated high requirements for the document scanners, their scope of delivery and the service packages for maintenance and support. The requirements included an optical resolution of up to 600 dpi, multistream capability, ultrasonic double-sheet detection and the ability to scan special formats such as receipts, envelopes and overlengths. For the most powerful scanner class, in which the InoTec SCAMAX® scanners were awarded the contract, staple detection, intelligent double sorting, a stack height of at least 750 sheets and a scanning speed of at least 300 pages per minute (150 ppm duplex) were also mandatory. Proof of sustainability and energy efficiency also had to be provided.

A quarter of the InoTec SCAMAX® contingent already called up by offices and authorities

Until 2027, 95 eligible authorities and institutions can now order InoTec SCAMAX® document scanners from the contingent of 60 devices, including all federal ministries and offices, such as the Federal Chancellery, the Federal Archives, the Federal Court of Justice and the Federal Criminal Police Office. Almost a quarter of the contingent – namely 14 InoTec SCAMAX® document scanners – has already been requested and purchased by various authorities and institutions. If the 60 document scanners are not sufficient to meet the orders of all users, there is the possibility of increasing the contingent.

The aim of the Federal Republic of Germany is to ensure end-to-end electronic file management for German federal authorities and institutions by procuring scanning hardware and the associated services, thereby further advancing electronic administration in line with the E-Government Act.

Successful collaboration between DATAWIN and SAFETEC

Winning the “Tender for the procurement of scanner hardware and associated services” in the category of particularly powerful document scanners was not the first successful cooperation between the Bavarian scanner specialist DATAWIN and the Swabian IT system house for hardware, software and service SAFETEC. Last year, SAFETEC was already able to win an 11-device tender from the Berufsgenossenschaft Handel und Warenlogistik with the InoTec SCAMAX® 3×1 model. Further joint projects are planned for the future, particularly in the public sector.
