Replacement scanning according to BSI guideline TR-03138 “Ersetzendes Scannen (RESISCAN)” is now possible with all scanners of the InoTec SCAMAX® Family.
Ergolding near Landshut, April 17, 2024: The InoTec SCAMAX® 3×1 document scanner from German niche market leader DATAWIN GmbH has been awarded “TR-RESISCAN ready” certification. This is confirmed by the certification body of the VOI – Verband Organisations- und Informationssysteme. This means that all models of the SCAMAX® family are demonstrably suitable for scanning processes in accordance with the Technical Guideline TR-03138 “Ersetzendes Scannen (RESISCAN)” of the German Federal Office for Information Security.
“Replacement scanning” refers to scanning processes that allow a paper-based original document to be destroyed after it has been digitized, while the evidential value of the original is transferred to the digital image. With BSI TR-03138, the Federal Office for Information Security offers users from administration, justice, business and healthcare a practical guide to securely designing their processes.
Replacement scanning can save companies and authorities millions
Organizations that scan in accordance with TR RESISCAN are exempt from the obligation to retain original paper-based documents and therefore no longer have to archive them at great expense. This is particularly beneficial for organizations with large volumes of paper and long statutory retention obligations. For example, doctors’ surgeries, hospitals and clinics in Germany must keep their patient files for at least 10 years; medical records for occupational health care must be kept for at least 40 years if they relate to activities involving hazardous substances. In some federal states, documents entitling the holder to use a professional title must be kept for even longer – in fact 50 years. Here, according to projections, archiving costs of around 2.50 euros per sheet of paper are incurred – with archives often containing millions of documents.

The certification of the SCAMAX® 3×1 was preceded by a test procedure lasting several weeks by the Verband Organisations- und Informationssysteme.
Series of awards and certifications for the SCAMAX® Family continues
The “TR RESISCAN ready” certification for the SCAMAX® 3×1 is the latest in a series of awards and certifications for the document scanners of the InoTec SCAMAX® Family. As recently as March 2024, the SCAMAX® 6×1 received the “Highly Recommended” and “Highly Reliable” certificates from the independent evaluator and market research company Keypoint Intelligence. Shortly before that, the SCAMAX® 3×1 had received the DM Award “Imaging Product of the Year” (Workgroup/Departmental) from Document Manager Magazine.
